Sponsorship of Attendance at National Conferences
Policy
OWLS will regularly
send staff and trustees of member libraries to national conferences. Attendance
at national conferences is important for staying current with the latest
developments in the library field, and most system libraries do not have
sufficient resources to send staff or trustees to conferences out-of-state.
Procedures
- Upon Board approval,
OWLS will budget funds annually to sponsor the attendance of one librarian
or trustee from each member county at national library or library-related
conferences, e.g., the meetings of the American Library Association or
Public Library Association.
- OWLS will select
the conferences where attendance will be sponsored under this program.
Member libraries will be notified of these conferences by November 1st of the preceding year. Notification
will include the title, sponsor, dates, and location of the conference,
as well as how to get more details.
- OWLS will pay for
registration, transportation, and hotel rooms; meals shall be reimbursed
at an amount per day set annually by the OWLS Board. Attendees will
pay any other optional or incidental expenses they might incur, e.g., buying
materials, taking tours of the city, or room service. Registration,
transportation, and lodging will be arranged and paid in advance by OWLS,
when requested. Attendees will be reimbursed for meals and, if necessary,
registration, transportation, or lodging after they submit receipts to
OWLS Administrative Secretary.
- Librarians and trustees
interested in attending an eligible conference should submit an application
form to the system continuing education coordinator. Review of applications will begin on December 1st of the preceding year and will continue until two recipients have been selected.
- If no one applies
from one county and there are two or more applicants from the other
county, two people may be selected from the same county.
- OWLS Director
and continuing education coordinator will ordinarily select the recipients of the awards.
However, they may solicit the advice of others. Factors to be considered
include attendance at previous conferences of the sponsoring organization;
membership in the sponsoring organization; previous OWLS conference
attendance awards; and the relevance of the conference program.
- Attendees
may be asked to share information about the conference with other staff
and trustees in the system.
